Who we are

Our website address is https://insoftex.com. Insoftex is a shared brand used by two independent regional companies with the same founder: Insoftex OÜ (registry code 16499728, Sepapaja tn 6, Tallinn 15551, Estonia) and Insoftex LLC (5900 Balcones Drive STE 100, Austin TX 78731, USA).

Insoftex OÜ generally serves EU and international engagements; Insoftex LLC generally serves US-based engagements. The relevant controller or contracting entity depends on your region, inquiry, and any later agreement.

What data we collect and why

Contact and inquiry forms

When you submit an inquiry or book a call, we collect your name, email address, company name, and the content of your message. We use this information solely to respond to your inquiry and assess potential engagement fit. We do not use it for marketing without explicit consent.

Analytics

We use Google Analytics 4 and Microsoft Clarity to understand how visitors use our website. These tools collect anonymised usage data (pages visited, time on site, browser type, approximate location) via cookies. This data is only collected after you provide consent through our cookie consent banner.

Marketing and advertising

If you opt in to marketing cookies, we use the LinkedIn Insight Tag to measure the performance of our advertising and to reach relevant professional audiences on LinkedIn. When it runs, LinkedIn sets cookies and receives your IP address and browsing actions on our site. It is deployed through Google Tag Manager, blocked by default, and only runs after you opt in. We do not use it on our career and job pages, on our privacy or cookie-policy pages, or in development and staging environments. See our Cookie Policy for the specific cookies.

Who we share your data with

We do not sell your data. We may share it with:

  • Our CRM system (EspoCRM, self-hosted on our infrastructure) for managing client relationships
  • Calendly, if you book a call, to manage scheduling
  • Google (Google Tag Manager and Google Analytics 4) and Microsoft (Clarity) for the tag-management and analytics services described above (with your consent)
  • LinkedIn, if you opt in to marketing cookies, for advertising measurement and audience matching (with your consent)

Apart from the consent-based advertising measurement described above, we do not share your data with third parties for marketing purposes.

Advertising and analytics processors

The third-party providers we use for analytics and advertising are listed below. Each is loaded only after you consent through our cookie banner, and each is deployed through Google Tag Manager:

  • Google Ireland Limited — Google Tag Manager (tag deployment) and Google Analytics 4 (website analytics). See the Google Privacy Policy.
  • Microsoft Corporation — Microsoft Clarity (session analytics and heatmaps). See the Microsoft Privacy Statement.
  • LinkedIn Ireland Unlimited Company — LinkedIn Insight Tag (advertising measurement and audience matching). See the LinkedIn Privacy Policy.

These providers may process data outside the EU; where they do, we rely on standard contractual clauses or the EU–US Data Privacy Framework.

How long we retain your data

Inquiry and contact form data is retained for up to 3 years for legitimate business purposes (responding to enquiries, maintaining business records). Analytics data is retained according to the retention settings of the respective analytics platforms.

Your rights

Under GDPR (if you are in the EU or EEA) and applicable US privacy laws, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request erasure of your data
  • Object to or restrict processing
  • Data portability

Where processing is based on your consent — analytics and marketing cookies, including the LinkedIn Insight Tag — you can withdraw that consent at any time using the “Manage cookies” link in the site footer or the controls on our Cookie Policy page, without affecting the lawfulness of processing carried out before withdrawal.

Where we store your data

Our self-hosted website and CRM infrastructure is based in the EU (Hetzner, Germany). EU engagements can be handled through Insoftex OÜ with EU-oriented operational and legal handling. Calendly and analytics data may be processed in the United States. Where data is transferred outside the EU, we rely on standard contractual clauses or the EU–US Data Privacy Framework.
